Job Description:

  • The University Relations Division plays a vital strategic and operational role in shaping the public perception, reputation, and stakeholder engagement of the university. This division functions as the central hub for all institutional communications, external engagement, brand positioning, and public interface, ensuring the university maintains a consistent, compelling, and credible voice across all platforms.
  • Events Management remains one of the tools used by the University to create relationships with Stakeholders. It also serves to position the University and thus ensure relevance of the University in different areas of operation. Events Management is a strategic platform that brings the University closer to stakeholders and creation of longer-lasting partnerships. This is also used to showcase University’s talents and achievements.

Job Purpose:

  • This role is responsible for supporting initiatives that enhance the university’s reputation and brand visibility by coordinating marketing and communication activities in line with the university’s strategic objectives. An Event Management Coordinator plays a pivotal role in ensuring the smooth execution of events, from initial planning to post-event evaluation.

Responsibilities:

  • Effective event planning to ensure successful extraction of benefits for the event.
  • Defining the event’s purpose, target audience, and desired outcomes. This includes setting timelines, choosing formats (in-person, virtual, hybrid), and selecting themes.
  • Create a project plan which will guide execution of all activities.
  • Allocating financial resources, negotiating with vendors, and ensuring cost-effectiveness while maintaining quality.
  • Working within the allocated budget and ensuring adherence to budget utilisation processes.
  • Plan, manage, execute and evaluate UJ’s planned and ad-hoc corporate events.
  • Ensure UJ’s compliance with legislation and statues i.e. Disaster Management.
  • Keep abreast of the trends and environmental developments relating to events management.
  • Managing venues, transportation, catering, equipment setup, and staffing needs.
  • Pre inspection and on-site management.
  • To provide guidance to UJ Faculties, Departments, on processes and procedures of events management in line with the SoP.
  • Manage and build relations with the internal clients, stakeholders and suppliers.
  • Consult with the relevant stakeholders related to the event.
  • Offer advice to Procurement on the best possible ways to obtain relevant suppliers.
  • Advice the relevant Departments on how to promote the event within the limits of the initial brief given.
  • Offer advice on the potential risks and work with the risks team in developing contingency plans that will allow the smooth implementation of the event.
  • Assessing the event’s success through feedback, ROI analysis, and post-event reporting.

Minimum requirements

  • A relevant Degree/B.Tech  (NQF 7) in Events Management/Hospitality/ Administration and or Project Management.
  • Two (2) to three (3) years’ experience in marketing/brand/event and project management roles.
  • Familiarity issues relating to event and project management in the marketing environment.
  • High proficiency in MS Office and design collaboration tools.

  • Understanding of event management trends.

Recommendations:

  • An Honours degree in Event/Hospitality Management and or Project Management and demonstration of previous experience.
