Job Purpose
- Responsible for providing a complete secretarial service.
Physical Requirements
- Must be physically capable of performing the duties of the post.
- This post reports to FUNCTIONS CO-ORDINATOR
Key Responsibility Areas
- Provides a complete secretarial service, typing duties, receptionist, co-ordinating, controlling and distributing incoming mail and diarising the necessary follow-up
- Undertaking routine correspondence duties by drafting replies and returns where necessary.
- Directing and controlling telephone calls by screening and re-directing calls where appropriate and by making calls, including truck calls as directed.
- Compiling and distributing agendas and taking minutes by attending relevant meetings.
- Maintain a confidential filing system.
- Maintaining and updating relevant policy and procedural records.
- Arranging conferences, seminars, presentations, meetings and office functions and ensuring the necessary documentation is available.
- Co-ordinating and controlling the diaries of Office Bearers by diarising events/functions and informing the respective Office Bearers.
- Liaising with Office Managers and Executive Secretaries to ensure an accurate co-ordination of diaries.

- Grade 12 (NQF Level 4) or equivalent and an Administrative Certificate.
- 3 Years relevant experience.
