Duties/Pligte
Managing AVReQ’s Budget:
- Managing and overseeing AVReQ’s annual operational budget.
- Administrating and loading all remuneration for contract staff and tutors.
- Preparing and submitting regular budget forecasts based on AVReQ’s planned activities and strategic objectives.
- Assisting AVReQ’s management team with strategic financial planning.
- Making national and international travel arrangements for staff and associates.
- Identifying and booking caterers for AVReQ events.
- Processing all financial transactions (including purchase orders, invoices, and research income and interest on funds).
- Capturing all financial information in compliance with SU’s system and keeping up to date with changes in SU’s financial systems and policies.
- Providing administrative and financial support for the preparation of financial reports for grant funders.
- Facilitating creating cost centres for opening and closing grant accounts.
- Capturing and processing scholarships, bursaries, and stipends for AVReQ’s students and postdoctoral fellows.
- Ensuring accurate and timely disbursement of scholarship funds, in liaison with the University’s Postgraduate Office and Student Fees Division.
- Responding to queries from students and postdocs regarding their scholarship payments.
Job Requirements/Pos Vereistes
- A relevant administration qualification (e.g. National Diploma or equivalent).
- At least three to five years’ relevant experience in financial administration within a higher education or research environment, preferably at Stellenbosch University.
- Demonstrable knowledge of SU’s financial systems, NRF funding systems, or other higher education environments.
- Understanding of financial management, budgeting, and reporting.
- Attention to detail in entering and checking financial information to ensure accuracy.
- Proficiency in SU’s financial management systems, Microsoft Excel, and other relevant office software.
- Excellent planning, prioritisation, and time management skills.
- Problem-solving skills and capacity for proactive approach to identifying discrepancies and knowing which departments to consult in the SU finance structure to resolve discrepancies.
- Verbal and written communication skills, particularly interpersonal skills and the ability to maintain positive working relationships with colleagues, external partners, researchers, and students.
- A high level of integrity, ethical conduct in relationships with researchers that requires transparency in the management of their fund’s information.
